Team members or site engineers log expense entries by entering itemized descriptions, selecting expense categories, and uploading paper receipt photos or invoice PDFs. Expenses are routed through approval flows before being reconciled against available project deposit funds.3. How It Helps

A. How to Add an Expense

Open Expenses Module
Click Finances -> Expenses.

Click Log Expense
Click + Log Expense.

Fill Expense Form
Enter:
- Expense Title (e.g. Cement & Rebar Delivery)
- Category (Materials, Labor, Equipment, Utilities)
- Amount & Tax
- Vendor Name

Attach Receipt & Submit
Upload a receipt photo or invoice PDF, then click Submit Expense.
B. How to Edit an Expense

Select Expense Record
Locate the item in your expense list and click Edit.

Modify Details
Update category, amount, or re-upload receipt document.

Save
Click Save Expense Changes.
C. How to Filter & Search Expenses
- Category Filter: Filter expenses by Materials, Labor, Transportation, etc.
- Approval Status: Filter by Pending Approval, Approved, or Rejected.
- Date Range Picker: Filter costs logged over specific custom date intervals.
D. How to Delete an Expense Record

Select Delete
Click Delete Expense from the entry menu.

Confirm
Confirm deletion. The expense amount will be restored to your active project budget balance.
